Position Summary

Under supervision, provides administrative assistance for institutional educational programs.

Job Responsibilities

  • Assists with the arrangements and operational coordination of events and activities relating to medical education and credentialing.
  • Provides data entry, spreadsheet creation/maintenance, electronic file maintenance assistance.
  • Responds to inquiries from faculty members, administrative staff, graduate staff, and external organizations.
  • Provides information based on own knowledge or redirects inquiries to other staff, as needed.
  • Assists in the coordination of residency and fellowship applications, recruitment, and onboarding processes for departmental educational/trainee programs.
  • Maintains and/or disseminates departmental or functional specific policies and procedures. May also be responsible for creating/maintaining a departmental standard operating procedures (SOP) manual.
  • Initiates and prepares written correspondence as needed and based on functional needs.
  • Prepares materials for meetings and presentations.
  • Assists in the processing of medical student onboarding, Volunteer and Observer appointments.
  • Maintains integrity of information.

Education

  • High school diploma or GED

Experience

Approximately 2 years of related experience.

Prior working experience in medical or educational environment desired.

Knowledge, Skills and Abilities

  • Demonstrated organizational skills and ability to pay close attention to detail.
  • Excellent communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
  • Demonstrated ability to work proactively and independently under self-direction, as well as a team member.
  • Proficient in MS Office Suite with an emphasis on PowerPoint, Excel, electronic calendar management, email applications, and video and telephone conferencing applications.
  • Strong customer orientation with advanced organization skills and the ability to multi-task within demanding timeframes.
