Position Summary
Provides program support to ensure efficient delivery of the medical curriculum and other educational and business needs of the division.
Job Responsibilities
- Plans and organizes all logistics arrangements including liaison with other divisions as well as the WCM-Q office in NY for educational and business purposes.
- Processes, reviews, logs and monitors the completion of expense claim reimbursement forms and creation of the shopping carts as directed related to the division ensuring compliance with WCM-Q financial policies and procedures.
- Reviews, coordinates and maintains a log of the payment of invoices and reimbursement of expenses and other budgetary needs such as Procurement credit card.
- Assists with the arrangements and operational coordination of events and activities relating to the division of Medical Education.
- Manages, screens, logs and prioritizes all incoming correspondences.
- Maintains/schedules appointments, conference calls, office files and the electronic calendar.
- Manages the stock for office supplies/stationery, photocopies, faxes and other consumables and place orders for replenishment as needed.
- Liaises with the division’s internal and external stakeholders as required.
- Provides word processing, spreadsheet and presentation services including drafting correspondence, typing and formatting of word and excel documents for reports, manuscripts, research proposals and other publications.
- Compiles and disseminates materials for related meetings. Records and transcribes minutes and monitors follow up actions points.
- Responds to inquiries from faculty members, staff, students and external organizations.
- Provides information based on own knowledge or re-directs inquiry to other staff as appropriate.
- Updates website and intranet materials when required.
- Provides cross-coverage within the Division.
- Performs any other job-related duties as assigned.
Education & Experience
Bachelor’s Degree in any discipline (preferably administrative sciences).
2-3 years of relevant experience.
Prior working experience in a research, medical or educational environment desired.
Knowledge, Skills and Abilities
- Excellent communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
- Previously demonstrated ability to work proactively and independently under self-direction, as well as a team member.
- Proficient in MS Office Suite with an emphasis on PowerPoint, Excel, electronic calendar management, email applications, and video and telephone conferencing applications.
- Strong customer orientation with advanced organization skills and the ability to multi-task within demanding timeframes.
- Well versed in written and spoken English.
Working Conditions/Physical Demands
Flexibility to work extended hours is essential, as and when required.
